Microsoft 365 Copilot training: what teams need to learn first.

aiWize team 5 min read

Microsoft 365 Copilot training should start with the basics. Teach people to write clear requests, check answers and know what data is safe to use. Then practise in the apps they already use, such as Word, Excel, PowerPoint, Outlook and Teams. Use their own real tasks, not generic demos.

What is Microsoft 365 Copilot?

Microsoft 365 Copilot is Microsoft's AI assistant for work. It sits inside Microsoft 365 apps such as Word, Excel, PowerPoint, Outlook and Teams. People can ask it to draft, summarise, explain or analyse without leaving the app they are in.

Depending on how your company sets it up, it can also draw on work content people already have access to. That might include files, emails and meetings. This is what makes it useful. It is also why training and clear rules matter.

Why do teams need Microsoft 365 Copilot training?

Turning on a licence does not change how people work. It's common for people to try an AI assistant once, get a vague answer and go back to old habits. Others trust the first answer too much.

Good training fixes both problems. It shows people what Microsoft 365 Copilot is good at, where it struggles and how to check its work. It also builds the habit of using it for real tasks, every day.

What should teams learn first?

Start with skills that work in every app. These are the foundations, and they carry over to other AI tools too.

  1. How to write a clear request. A good request, often called a prompt, says what you want, who it is for and what good looks like. Context and an example help a lot.
  2. How to check the answer. AI can sound confident and still be wrong. Teach people to check facts, numbers and names against the source.
  3. What data is safe to use. People need to know your company's rules on sensitive data, and what the assistant can see.
  4. Which tasks suit AI. Drafting, summarising and explaining are good places to start. Final decisions and sensitive messages still need a person.
  5. How to keep going. A first answer is a draft. Ask follow-up questions to improve it, rather than starting again.

How does Microsoft 365 Copilot help in each app?

Once the foundations are in place, move into the apps. Features change often and depend on your set-up. So treat these as tasks to try, not a feature list.

AppGood first tasks to try
WordDraft a first version from your notes. Summarise a long document. Rewrite a section for a different reader.
ExcelAsk questions about a table in plain English. Get help with a formula. Look for patterns worth checking.
PowerPointTurn a document into a first draft of slides. Tighten the wording on busy slides.
OutlookCatch up on a long email thread. Draft a reply, then edit it in your own voice.
TeamsCatch up on a meeting or a busy chat. List the actions and owners agreed.

Keep the person in charge. The assistant gives you a starting point. You still own the final document, number or message.

How should you structure the training?

Generic demos rarely stick. Training works better when it is built around roles and real work.

Group people by role. A finance team needs different examples from a sales team. Use their own documents and tasks, with sample data where needed.

Keep sessions practical. Show a task, then let people do it themselves. Leave time for questions, because that is where much of the learning happens.

Then follow up. Check in once people have used it for a while. You'll see what works, where they are stuck and what to teach next. Some companies also name AI champions in each team. These are people who help colleagues and share good examples.

What about ChatGPT, Claude and Gemini?

Many teams use more than one AI assistant. Microsoft 365 Copilot may sit inside their daily apps. Some people also use ChatGPT, Claude or Gemini for research, writing or analysis.

That's fine, as long as you are clear about which tool is approved for which work. Be just as clear about what data can go where. A short AI use policy does this well.

The core skills are the same in every tool. Teach those well, and people can move between tools with confidence. If you're still deciding, read which AI tools to start with.

Common questions.

Who should get Microsoft 365 Copilot training first?

Start with a mixed group from different teams, plus the managers who will support them. They test Microsoft 365 Copilot on real work and become the people others ask for help. Once you know which tasks work well, roll training out team by team, using examples from each team's own work.

Is Microsoft 365 Copilot training different from ChatGPT training?

The core skills are the same: clear requests, checking answers and safe data use. The difference is where people practise. Microsoft 365 Copilot training happens inside Word, Excel, PowerPoint, Outlook and Teams. ChatGPT, Claude or Gemini training focuses on each assistant's own app. Good programmes teach skills that carry across tools.

Can Microsoft 365 Copilot see all our company data?

It is designed to work within the permissions your company already has. In short, it should only draw on content each person can already open. That is why tidy permissions matter. If old files are shared too widely, they may show up in answers. Review sharing settings before rollout, and cover safe data use in training.
